Refund & Cancellation Policy

This policy sets out how cancellation and refund requests are handled for custom digital and software services provided by Vertex Digital Systems Ltd.

1. Business-to-business services

Where services are provided to businesses under a commercial arrangement, the terms of the relevant proposal or contract will govern cancellation, refund, and payment obligations. In general, fees for services already performed, accepted, or scheduled for delivery are not refundable unless otherwise stated in the agreement.

2. Custom software and digital deliverables

Custom software, integration work, automation, data-processing projects, technical configuration, research outputs, and other digital deliverables are tailored to client requirements. Once work has started, the client is typically responsible for the portion of the project already performed and any time, resources, or expenses incurred.

3. Deposits and milestone payments

Deposits and milestone payments are applied to project initiation, review, implementation, and delivery phases. These amounts may be non-refundable once the corresponding work or milestone has been reached, unless the contract expressly provides otherwise.

4. Consumer services

Where a consumer relationship is covered by applicable consumer protection law, any rights provided by law are preserved and may apply alongside this policy. This policy does not exclude statutory rights that cannot be excluded by contract.

5. Cancellation requests

Clients may request cancellation in writing. Any cancellation will be reviewed in line with the project agreement, the stage of work completed, and any fees already earned or due. We may also require a final invoice for services completed or committed before the cancellation date.

6. Refunds

Refunds are not automatically available for custom digital services. Whether a refund is appropriate will depend on the project terms, the status of delivery, and applicable statutory rights. Where a refund is due, it will normally be processed using the original payment method or as otherwise agreed.
